Coordinating Healthcare Innovation with Zoom

Baylis Medical has been delivering cutting-edge training and technology to medical professionals since 1986. The company’s leadership in the development, production, and commercialization of state-of-the-art cardiology devices has been pivotal to many care providers. Baylis Medial develops the products that help physicians effectively deliver minimally invasive training and education to healthcare professionals everywhere. 

For years, the teams at Baylis Medical had leverage conferencing rooms on-site for video meetings and collaboration. Unfortunately, they noticed a number of problems with their legacy technology, making efficient meetings difficult to achieve. Employees struggled to hear each other clearly, according to Director of Technology and Information Services, Joey Fararone. 

Employees struggled to deliver engaging presentation to meeting attendees. The team even struggled with issues where vendors, clients, and contractors were unable to join meetings. Ultimately, Baylis Medical realized it needed a more effective way to standardise and optimise its communication strategy. 

Before working with Zoom, Baylis was using a range of different solutions, from Webex to Skype for Business. Unfortunately, the technology they had in place was disjointed, bloated with too much hardware and causing significant problems with team productivity. Even before the transition to work-from-home strategies began, Baylis Medical was struggling. 

When COVID-19 hit, the Baylis Medical team needed to decide on how they could improve their operations quickly. This is when the company discovered Zoom.  According to Fararone  Zoom’s UCaaS platform allowed his organisation to develop a more dynamic and reliable communications infrastructure, with streamlined operations and seamless work-from-home opportunities. 

Building Dynamic Communications with Zoom UCaaS

Fararone noted he believed the perfect solution for communication and collaboration among his current team needed to be completely “hardware-free”. Previously, he had looked at Zoom technology in previous roles, and felt the solution could help Baylis Medical to address a range of communication challenges. Zoom, according to Fararone, really leverages the software and network aspects of an organisation, which is just what Bayliss needed. 

Joey spoke to the president of Baylis Medical, Kris Shah, and has been asked what he would do to enhance the collaborative tools available in the company’s meeting rooms. Fararone said his immediate response was “Zoom”, and the decision to implement the technology was made rapidly. 

Notably, one of the factors which helped to sell Zoom as the ultimate solution for Baylis medical, was the integration the technology enabled with Microsoft Outlook. This allowed teams to schedule essential meetings at the click of a button. Joey noted that the integration with Outlook was very useful for employees who liked having the option to sign into their email and be able to see who was online or offline immediately. 

The collaborative tools offered by the Zoom UCaaS environment felt like a natural choice, based on the vision and direction of the company. There were around 500 users at the time when Baylis Medical decided to deploy Zoom as a full-system rollout, complete with phone functionality. The installation and setup of the new solution only took one weekend. 

According to Fararone, the implementation of Zoom UCaaS also meant updating all of the company’s meeting rooms, introducing call routing capabilities, and setting up an automated call attendant. The call attendant automation enabled the company to unlock more essential time for front reception staff to focus on more complex tasks. 

Enabling the Workforce with Zoom

The rapid and simple deployment of Zoom’s UCaaS technology meant Baylis Medical was already using the Zoom ecosystem by the time its employees began moving to the work-from-home model in response to the COVID-19 pandemic. By leveraging Zoom’s platform completely, Baylis Medical was able to seamlessly transition into a remote working environment. 

Through Zoom, the team can now connect with external and internal stakeholders. Plus, Baylis Medical was able to continue operating painlessly during the pandemic, when the team was forced to start working from home over a matter of two days. The success of the implementation has pushed Baylis Medical to further enhance its investment in Zoom technology.

Fararone said the business is now using every piece of the Zoom ecosystem they can. The team uses Zoom Phone in and outside of the office through smart phones and PCs. They also use Meetings through Zoom to collaborate, and the clinical team is using webinars to inform and educate physicians. According to Fararone, being able to showcase exactly Baylis can do through a virtual ecosystem has helped the team to continue growing in the medical device industry. 

Unlocking Endless Opportunities

Through access to Zoom’s UCaaS platform, Baylis Medical has crafted a seamless user experience, empowering employees to maintain productivity and efficiency in any environment.
