Keeping your workspace organized and coordinated, particularly in the age of flexible work, is far from simple. As companies embrace new strategies for hot desking, office neighborhoods, and hybrid work, resource management is growing more complex. That’s where platforms like ROOMZ come in.

ROOMZ workspace solutions, built to power the future of intelligent offices, combine state-of-the-art hardware with intuitive booking apps and analytics. Not only does this platform help teams make the most of their office space and increase engagement, but it can assist in reducing operational costs and guide stronger decision-making strategies.

So, how does ROOMZ stack up as an all-in-one solution for coordinating and managing the modern workplace? We put this platform to the test, comparing it to countless other workplace management solutions, to bring you this behind-the-scenes review.

Quick Verdict: Pros and Cons

ROOMZ is a user-friendly “kit” of workplace management solutions, combining intuitive software with intelligent hardware to re-organize and revamp the workspace. The company goes beyond offering the simple desk and room booking apps provided by competitors like Deskbird.

With ROOMZ, you can access all the tools you need to build a smart office, meeting room environment, and eco-friendly educational facility from a single vendor. Unfortunately, compared to the other solutions we’ve reviewed, this system is missing a few things.

For instance, there’s no visitor management tool, no AI “Copilot” to suggest relevant spaces to workers and no built-in helpdesk technology. On the plus side, ROOMZ does give you the features you need to reduce maintenance costs, improve employee experience, and track office space metrics.

Pros

  • Easy-to-use, all-in-one solution for workplaces
  • Intuitive hardware and software to improve sustainability
  • Highly flexible room, desk, and huddle room booking
  • Advanced analytics and data insights
  • State-of-the-art hardware and software in one package
  • Cloud or on-premises support

Cons:

  • Pricing isn’t transparent
  • Limited AI features
  • No helpdesk or visitor management apps

ROOMZ Workspace Solutions: Overview and Key Features

ROOMZ Workspace Solutions are comprehensive kits for meeting room, office, and educational environment management, that combine both hardware, and software.

Designed to enhance user experience and team engagement, ROOMZ is a feature-rich and straightforward workplace management system. Though it lacks some advanced capabilities, like built-in visitor management and AI-powered assistants, ROOMZ also delivers a few unique features that its competitors have missed.

For instance, this all-in-one platform includes proprietary hardware (like sensors and displays). ROOMZ also prioritizes sustainability, giving users eco-friendly devices and behind-the-scenes insights to help them reduce their carbon footprint.

Let’s dive into the key features of the ROOMZ ecosystem.

The Hardware: Room Displays and Sensors

First, as mentioned above, ROOMZ separates itself from many other vendors offering basic workspace management apps (like desk booking and meeting room booking tools) with proprietary hardware. Though you can still choose to connect the system to any existing hardware you’re using, you can also purchase displays and sensors directly from the ROOMZ team.

The ROOMZ display, for instance, is a streamlined “tablet-style” solution that requires no cabling to install and instantly connects to your existing Wi-Fi network. The display showcases clear and precise information to team members, showing everything from upcoming meetings (as well as their length, and the people involved), to booking options.

Users can instantly access insights into available rooms, book a space with a single tap on the tablet, and even “release” a room for other people to use.

The ROOMZ sensor, on the other hand, adds to the platform’s analytics capabilities, capturing valuable data about how teams are using available workspaces. The lightweight sensor (which also connects directly to your Wi-Fi network without cabling) tracks presence metrics in real time. There are even specific sensor solutions designed for desks, huddle rooms, and larger spaces.

The great thing about these sensors is that they collect data without putting your company’s security or privacy at risk. Occupancy data is kept completely anonymous, reducing compliance threats.

The myROOMZ Application

The myROOMZ application is the heart of the ROOMZ ecosystem, offering users a straightforward and simple workspace scheduling and booking system. This intuitive app is available to access on any device, from smartphones to tablets, computers, and ROOMZ proprietary displays.

Within the app, users can easily find office and desk spaces in real-time, with direct insights into availability, and amenities. Team leaders can create customized workspace “maps”, showing teams the entire layout of the office in an instant. As a business leader, you can even designate specific spaces for hot-desking employees and office neighborhoods.

Although this application doesn’t feature the same AI-powered support to help you find the right office space as something like Microsoft Places with Copilot, it does help you to schedule your days (and weeks) more effectively. You can view colleague reservations in real-time so you can coordinate your schedules with team members.

Individual users can reserve workspaces for groups, and invite team members to join them in a specific environment from within the app. You can even “favorite” specific spaces based on their proximity to other team members or useful resources.

The app even supports single-sign-on, making it easier for teams to rapidly access the tools they need to book workspaces, without compromising on security. Plus, myROOMZ connects directly with the tools team members already use for collaboration, communication, and scheduling. You can link the app to Microsoft Teams or Google Workspace and send alerts or invitations to staff through any app.

ROOMZ Analytics: Advanced Insights

As the workplace continues to evolve, business leaders need more than just interactive maps, hardware, and booking tools to manage the office environment. They need in-depth insights that can help them redesign the workplace in a way that boosts engagement and reduces costs.

Fortunately, the ROOMZ ecosystem makes it easy to access the insights you need. Within the platform, business leaders can see at a glance how office spaces are being used, with in-depth engagement, and utilization data. There are dashboard to show you how workspaces are typically organized, and you can create customizable reports to share with stakeholders.

You can even monitor workplace performance based on customizable tags, helping you to understand how specific amenities and resources drive team productivity and performance. With access to ROOMZ sensors, you’ll have even more data about occupancy levels as they change throughout your office, so you can adjust room assignments and hot desking strategies accordingly.

ROOMZ even integrates directly with other analytical solutions, like Microsoft BI, so you can combine data about office and space usage with other business performance metrics.

These analytical tools are great, but they’re not perfect. We would have liked to see more tools built into the platform for collecting employee feedback. Plus, the addition of a help desk solution, like you get with competing systems like Eden Workplace, would be useful for keeping track of technology issues within your office space.

Additionally, the fact there’s no AI Copilot to actively “suggest” ways team members can improve their schedule, or provide business leaders with tips on hybrid office design is a bit disappointing. Still, overall, ROOMZ does give you a lot of the information you need to make more intelligent decisions about the future of work.

ROOMZ Review: The Pricing

Unfortunately, ROOMZ isn’t quite as transparent with its pricing structure as some of its competitors. There’s no “Pricing” page on the website where you can choose between different monthly plans based on the features you need.

ROOMZ sells its solution as an “all-in-one” experience, combining a software subscription, with advanced customer support, and hardware in a single box. However, there’s no insight into how much this “Experience box” costs on the website. You’ll need to contact the ROOMZ team, or one of the company’s technology resellers to get a custom quote.

The good news is that you can customize your package. For instance, you can request a specific number of software licenses based on your business size. You can also purchase additional sensors and displays for your workspace.

There’s a good chance you could spend quite a lot of money on this ecosystem – however, particularly if you’re running a larger business environment.

ROOMZ Ease of Use and Customer Support

Finally, let’s examine the overall user experience with ROOMZ and the kind of support the team provides. First, whether you’re experimenting with proprietary hardware or using the myROOMZ app, you can expect a fantastically intuitive experience.

Everything is extremely easy to use. ROOMZ has designed its technology to make it easier for all users to manage schedules and spaces, regardless of their technical knowledge. With no extra cabling required, you can connect hardware to your business Wi-Fi in seconds, and start creating interactive maps in seconds.

ROOMZ will even give you access to partners who can help you set up and configure your new system, based on your specific needs. Even integrating your ROOMZ booking solutions with existing tools like Microsoft Teams and Google Workspaces only takes a couple of clicks.

From a customer support perspective, ROOMZ is also very impressive. Aside from working with partners to provide comprehensive onboarding and configuration guidance to businesses, ROOMZ has a fantastic support help center, with step-by-step tips and guides.

You can also email the ROOMZ team directly or book a meeting with one of their support team members through Outlook.

ROOMZ Review: The Verdict

Overall, ROOMZ is a fantastic ecosystem of tools, ideal for companies that need help managing a flexible, hybrid workplace. This convenient toolkit gives businesses everything they need to boost team engagement and reduce operational costs. With state-of-the-art hardware, managing meeting rooms and desks is easier than ever.

Plus, the user-friendly MyROOMZ app ensures every team member can effectively plan their schedules, coordinate with staff, and instantly make reservations. The analytical tools even give business leaders the in-depth insights they need to enhance the workplace with a focus on employee experience, engagement, and cost reductions.

However, this platform lacks some elements, such as visitor management tools, helpdesk software, and built-in AI capabilities. This could mean the ROOMZ solution is ideal for smaller businesses but less effective for companies that need more advanced capabilities.

If you’re looking for a straightforward workplace management solution that doesn’t have to many extra “bells and whistles”, ROOMZ could be the perfect option for you.
