The Klynke software platform helps you track the time spent working on Office 365 tools and integrates with your project management and case management system. It makes it easier to get visibility into your productivity patterns and map the efforts put into their outcomes and/or billing. Klynke is tightly integrated with the end-to-end Office 365 suite of tools, including Microsoft Teams, Microsoft Outlook, Microsoft SharePoint, Microsoft Planner, and Microsoft Excel.
The premise behind Teams was that it would act as a time management system that would understand when you work using Office 365 tools, eliminating the need to switch platforms and manually log time. The app was built by a team based out of Iceland and was launched on the Microsoft Teams AppSource in the first half of 2021. From the get-go, it was made with Microsoft Teams in mind and relies on the Microsoft Graph Service to enable connected data intelligence between Microsoft systems.
Let us review the Klynke time management app in detail.
Inside Klynke for Microsoft Teams
You can install Klynke for free from Microsoft AppSource. You can also navigate to the application store on Teams from the left navigation pane on your Teams interface. Keep in mind that while the app can be downloaded for free, you will need to upgrade to a paid version after the first month. Post the free trial period, Klynke costs $2.49 per user per month.
Here are the key features you can expect with Klynke for Microsoft Teams:
- Daily timesheets – You can use the Klynke app to view and record your daily timesheets directly from Teams. Open the app, navigate to the timesheet app, and choose the period for which you want to document work. To log work hours, you can specify the team member’s name, task time, team name, and project.
- Timesheet to project mapping – As employees use Microsoft 365 tools for productivity and meetings, users are registered automatically by the Klynke app. It can be associated with a project of your choice. And each project can have a billing component (either internally billed or billed to the customer), which means that you can always stay within budget.
- Detailed records with export capabilities – As you and your team members log work hours and generate detailed timesheets, the records display as an exportable table. Thanks to Klynke’s deep integrations with the Microsoft 365 environment, you can directly export timesheet records as an Excel file with one click.
- Worktime calendar – Right next to the timesheet tab, you’ll find the Worktime tab, which allows you to add the work hours spent in meetings and other calendar events. You will see a weekly/monthly view of your calendar. You can make new entries by clicking on the relevant date and typing in the task details aligned with a project.
- Built-in case management – When you embed case information in the meeting agenda, Klynke consolidates it, so it’s visible from Microsoft Teams. For example, you might schedule an Outlook meeting to discuss a specific case (i.e., a query or issue). Typically, cases will have an associated document, sub-tasks, comments, etc. All of this will be accessible to you via Teams so you have full clarity on how employee work hours are spent.
- Visibility into projects – Klynke associates every task with and meeting with a project, which means that you get an accurate picture of the total work hours for the project without any gaps. This enables accurate billing if the project is billed to the customer. Notably, the Projects feature in Klynke is synchronised with your tasks and projects on Microsoft Planner so that you have unified visibility throughout the Microsoft 365 environment.
Why the Klynke App Makes a Difference
Klynke provides unified visibility into how you use Microsoft 365 to stay productive. This helps to manage your time and effort more effectively and plan your schedule. Also, Klynke can combine data from disparate systems into consolidated dashboards, significantly reducing scheduling and admin complexity.
