doko is built on a unique value proposition: it helps you find files and information across disparate cloud services and email clients. With cloud adoption rapidly rising (more than 88% of companies use the cloud in one form or another), it can be difficult for end-users to navigate multiple systems and find/retrieve the information they want on time. doko seeks to address this through a universal search capability that effectively cuts across multi-cloud and multi-service barriers to locating files no matter where it is saved. Currently, you can find files across Google Drive, Gmail, SharePoint, Outlook, Slack, Salesforce, Box, and OneDrive.

It is also possible to link doko to messaging services and email clients and also get automated alerts when a relevant file is updated.

doko was founded in February 2019 and is based in Tokyo, Japan. Its value proposition clearly shows that doko relies on integrations and APIs to fetch information across a large and heterogeneous landscape. doko integrates with Teams as well. And you can use the company’s Teams app as the end-user UI for file search, retrieval, and records management. Let us review the app in more detail.

Inside doko for Microsoft Teams

To start using doko in Teams, you must first sign up for a doko account. We recommend using your Microsoft credentials for account registration to enable seamless interoperability with the Teams platform. You can sign up without having to subscribe to a paid license, but keep in mind that the free version of doko is available only for two weeks, and you can add up to three cloud services for searchability.

Once your doko account is in place, visit Microsoft AppSource, and download the company’s Teams integration. You’re now ready to access doko’s search service from Teams – here are the key features to expect:

  • Search up to 10 cloud services – With the paid version of doko, you can search across up to 10 different cloud-based services, and the company is constantly adding to its roster of integrations. For now, you can configure doko to fetch data from Box, Google Drive, Gmail, OneDrive, SharePoint, Outlook, Salesforce, Confluence, and two lesser-known apps called Backlog and ChatWork. Backlog is a 100% online project and code management platform, while ChatWork is a team communication app incredibly popular in Japan.
  • Multiple file format compatibility – You can search for various files using the doko app. This includes the usual favourites like presentation decks, PDF documents, Excel sheets, and images, along with .conf, .html, etc. Importantly, doko can also search through your email inbox and fetch messages with matching text in its body or title.
  • Search parameters and filters – You can refine the file search activity further by specifying exactly when the file was last updated and the type you are looking for. doko also lets you look through file names, file content, or both – and you can choose one or more of the ten services associated with your account. In other words, you can customise every search activity with specific parameters and filters.
  • View file details – After you run a search, doko displays all the matching files in a comprehensive list directly inside the Teams platform. The ability to view a summary of file details is a key advantage. Every item in the list will have the creator’s name, the date when it was last modified, the app where it is housed, and any likes or comments associated with it.
  • Frequently searched keywords – doko analyses search behaviour in your organisation to intuitively complete the search query even as you type into the search bar. You’ll find the top searched-for keywords right below the search bar to reduce the efforts needed to find a file.
  • File grouping – There are two ways you can view search results on doko – they can be grouped so that all files with the same name in the same app appear as one list item. Or, you can view every instance of the file as it occurs in your organisation’s cloud landscape.

Why the doko App Makes a Difference

Doko has a good value proposition in today’s multi-cloud world, ensuring that you never lose track of a file, document, or message, no matter where it’s located.

What We Think

If you use more than one cloud service for file management, doko is a good investment.
