Although Robin might not be as well-known among hotdesking and workplace management solutions as some of its competitors, it’s a great all-around tool. This review will give you a behind-the-scenes insight into whether Robin is the right platform for you.

Robin is a straightforward, user-friendly workplace management solution designed to help teams thrive in the age of hybrid work. It offers fantastic desk and room scheduling tools and some of the best analytical and reporting solutions I’ve seen in this space. Plus, it’s packed with advanced capabilities for space planning, visitor management, and employee experience.

However, with no clear pricing plans, this platform could end up being too expensive for smaller teams. Additionally, it’s missing some features, like advanced AI capabilities, which would have given it an edge.

Robin offers companies an all-in-one kit for workplace management that goes far beyond the features offered by traditional desk booking tools. It combines desk and room scheduling capabilities, with visitor management tools, meeting services, space planning, and in-depth analytics.

Plus, this flexible platform (available via the web, or on mobile), is designed to integrate with all of the business apps your teams already use. You can connect Robin to Microsoft 365 or Google Workspace, Zoom, Logitech endpoint device monitoring tools and so much more.

Here’s a closer look at the core features of the platform.

Desk and Meeting Room Booking

Ideal for hot desking, office neighborhoods, and hybrid workspaces, Robin simplifies the process of distributing office space among your team members. Users can access the mobile or desktop app for an instant overview of availability for different rooms. Plus, the app can surface recommendations to each user based on the amenities they’ll need and which colleagues are nearby.

The built-in AI capabilities aren’t as advanced as those you’d get with Microsoft Places and Copilot, but they do streamline the process of finding the right space for your needs. Plus, I love that staff can share their desk reservations with colleagues through apps like Microsoft Teams. You can even book desks and rooms straight from Teams, Slack, or Outlook.

Business leaders can set restrictions on which desks and rooms employees can book at specific times and also receive real-time updates about any technical issues happening in specific spaces with reports. There’s also the option for employees to “check in” to spaces using QR codes or automatic Wi-Fi check-in.

The interactive maps that employees receive of their office spaces and rooms are fantastic, too. You can see office activity in real-time on these maps, and business leaders can edit them whenever they like to showcase amenities and points of interest.

Additionally, actually booking any space is extremely simple. It only takes a couple of taps or clicks to choose a desk or meeting room and book it for a day, a week, or more.

Visitor and Team Management

One of the great things about Kadence workplace management, is how easy it is to maintain control over teams and visitors as an administrator. You can easily view desk analytics in real-time to identify areas for improvement and adjust seating arrangements. Plus, you’ll get a real-time view of which staff members have checked into the office each day.

You can set up status reports for meeting rooms and desk technology, including tracking endpoints with integrations for Logitech Sync. There’s also the option to create custom status boards to show your staff in real-time what’s happening in each space throughout your office.

Plus, you can instantly send alerts and notifications to team members through a range of apps at once, if you need to let them know about a technical issue or problem.

I particularly like the integrated ticket management feature for meeting room issues and other workplace tasks. It’s great for monitoring tasks like room setup, and making sure IT teams are aware of technical problems.

For visitor management, Robin also offers a huge range of features. You can easily send documents and check-in instructions to visitors from the app, and receive notifications via Slack or Teams when people arrive. There’s the option to print badges for visitors, and create custom invite forms. Plus, you can give every visitor an interactive map of the entire office in seconds.

Workplace Analytics and Reports

I mentioned above that the analytics features are one of the key things that sets Robin workplace management apart from similar tools. Most workplace management solutions do give you a basic insight into how teams are using spaces. But Robin dives deeper than most.

It can show you, at a glance, the most active parts of your office each day, and how you’re utilizing desks across buildings and different environments. It can also show you exactly how teams are using meeting rooms, with average capacity and meeting duration insights.

You’ll be able to use AI for forecasting purposes, and to track hybrid working trends and opportunities. The AI system can even surface suggestions on how to optimize your office space design, to help you make the most of your resources.

Business leaders can tap into daily roster and activity summary reports, and even use automated surveys to collect direct feedback from employees about their experience. Plus, Robin assigns a “workplace collaboration score” to each office, which helps you to understand how teams are working together in the hybrid world.

On top of all that, companies can create custom dashboards based on specific metrics, and schedule the creation of automated reports for stakeholders. You can even track how many bookings are cancelled on a day-to-day basis.

Plus, since Robin integrates with a range of other tools, such as calendars, SCIM, and badge systems, it’s easy to build a comprehensive view of your entire workplace.

Other Stand-Out Features

There are a few other features of Robin workplace management that I wanted to draw attention to – but don’t really fit into the sections above. For instance, the platform is excellent from a hybrid work security perspective. It’s SOC2 and ISO 27001 compliant, and gives you granular control over all of your data, as well as user and visitor permissions.

It’s also one of the most flexible workplace management tools I’ve tried. As mentioned above, this platform integrates with virtually every tool you might need. You can connect it to your endpoint device monitoring tools, Microsoft Entra for directory syncing, and various collaboration tools like Zoom and Microsoft Teams.

One other thing worth noting is how customizable the platform really is. Not only do you get a WYSIWYG map editor, but you can customize resource icons, set daily capacity limits, and add notes to various room and desk spaces for your staff.

Robin Workplace Management Pricing

Pricing is one of the major downsides of Robin in my opinion – simply because it’s not transparent. Most other tools give you a set of plans you can choose from, depending on your feature needs, and how many employees you need to manage.

Robin customizes pricing plans to every company, which means you won’t know how much you’re going to spend until you actually contact the team. The good news is that this means that you can customize your experience based on the specific features and capabilities that matter most to you.

For instance, you can eliminate visitor management features from your plan if you don’t need them. The bad news is that you could also end up spending a small fortune if you want to take advantage of Robin’s long list of available features.

On the plus side, you can access a 14-day free trial to test the software before you pay anything, but this does mean booking a demo with the sales team. Another thing to keep in mind is that all Robin workplace management subscriptions are annual only. You have to pay for a full year of services at once, so you can’t just change your mind and switch to another app after a month.

Robin Ease of Use and Customer Support

In my opinion, Robin’s workplace management platform is very intuitive and easy to use. You can access the app on the web or via mobile, and easily start booking desks or navigating maps. A few features do take a little while to get used to, however.

Setting up your room schedule policies and designing interactive office maps takes a little time. Creating custom reports can be a lengthy process too. However, once you get used to all the different features in the platform, you’ll have no problem using the system.

There’s plenty of guidance built into the platform to help you, as well as resources on the Robin website if you need to access self-service guides, or webinars.

If you’re looking for direct support from Robin, their customer service team is fantastic. You can access 24/7 email and chat support, as well as guidance via the phone. There’s also the option to work with Robin’s technical team on a customized “setup” experience.

However, it’s worth remembering that if you need more granular support and onboarding guidance, you might need to pay more for your service. Robin doesn’t reveal whether “priority” support is included as standard for all plans, or whether it’s actually an add-on.

Robin Workplace Management: The Verdict

Overall, I was extremely impressed by the Robin workplace management platform. It’s an extremely intuitive, and feature-rich solution, perfect for the age of hybrid work. This platform goes above and beyond many of the other tools I’ve tried in terms of customization options, and in-depth analytics.

It’s also brilliant for managing all kinds of meeting spaces, visitors, and employees in one space. There are some downsides, however. For instance, the AI features, while useful, aren’t as robust as they could be. You will get a more advanced experience from something like Microsoft Copilot.

Additionally, Robin is unlikely to be the most cost-effective platform out there, particularly for smaller teams with limited needs. This platform seems to be tuned to the needs of larger businesses, with more complex requirements.

Still, if you’re looking for a feature-rich way to manage a bustling workplace environment, Robin is a fantastic choice.
