There are certain companies that prepare for the future, and then there are others that make the future. In an era of global remote work where employee self-reliance is at an all-time high, task automation and team collaboration are crucial components for operational success.  Zoom.ai started four years ago with the sole purpose of automating tasks inside of an office environment. Their primary motivation was to recoup lost productivity due to teams having to coordinate across too many apps. Often work is conducted with one application that handles meetings, another for file storage, and another for CRM data. Executing the base functions of work gets to the point where every employee needs a secretary. Zoom.ai’s CEO, Roy Pereira, explains how they have provisions for that to become a reality.

“A lot of artificial intelligence goes into our product. What we really wanted to do was to create an AI executive admin. To make it smart and learn over time, we added a lot of machine learning. It learns faster than any human at a rate of about eleven seconds. Once you register, after eleven seconds, our product knows how you like to work. This is very important because it allows the user to get right to work without worrying about different toggles or configurations; those become set based on user behaviour.”

A Holistic Approach to Meetings

One task that most employees have to do often is scheduling a meeting. That within itself is fairly mundane, but what about when there is a need to coordinate multiple teams. How will you connect everyone, not only across departments but also across various remote locations? Zoom.ai meets the need for video conferencing along with integration with CRM systems, HR systems, and even technical support. All of these disparate systems can tie back into Zoom.ai and provide data on-demand before the meeting, which increases productivity during the meeting. With the onset of COVID and the increasing demand on front-facing teams like sales, recruiting, and customer support, this package of task automation is integral for business efficiency.

“Beyond scheduling meetings, our solution provides support mechanisms,” says Pereira. “In preparation for a meeting, the user has other things to do besides just meet like set up the video link, fetch information from the CRM, even data input. So, we’ve expanded our reach to integrate with over ten video conferencing tools, all with dynamic links for added security. We also expanded for use with more CRM, HR, and file share systems to pull the relevant information about the attendees. For example, if an attendee is part of a CRM opportunity, we can provide critical information about them before the meeting along with links back to the CRM, which is the source of truth. Zoom.ai allows you to show up and have all the necessary information in front of you without wasting time.”

Additionally, Zoom.ai enables intuitive meeting scheduling between users on the same Zoom.ai Team plan. Zoom.ai knows your team’s availability and will automatically find the best time for everyone to meet; eliminating the need to compare calendars manually. Users can also include external collaborators with Shared Availability options such as round robin, collective, and on behalf. With on behalf, users can book a meeting on behalf of someone else automatically. A Zoom.ai user can create and share a scheduling link that automatically includes their real-time availability. The Zoom.ai user will be notified of the meeting as soon as the external invitee selects a time to meet.

Bring Data Exchange Full Circle

Zoom.ai allows for the bidirectional flow of information that facilitates more efficient business operations, especially in remote work environments. What that means is that after a meeting is set and conducted, pertinent post-meeting data is pushed back to the CRM or HR system. This creates a higher quality of data set, which makes for more meaningful follow- up actions.

Use cases for Zoom.ai even extend to professional coaching and consulting. They provide tie-ins to e-commerce and email marketing tools that can be auto-populated with client or prospective client data. This level of automation empowers small to mid-sized businesses to manoeuvre with more agility with minimal staff. The ability to stay in front of a wider audience with greater ease means more eyes on your business. Zoom.ai supplies not only the tools for business mobility but also maximum efficiency throughout organizational operations.
