Users can also leverage calendar integrations with Outlook and Google Calendar to schedule meetings directly within Microsoft Teams. Essentials also features access to various professional meeting tools and capabilities like meeting lobbies, virtual backgrounds, live closed captions, reactions, and “Together Mode”. What makes Essentials more compelling than the free version of Teams is the higher degree of access users can leverage.

How Microsoft Teams Essential Compares to Other Paid Plans

Microsoft Teams Essentials is the most affordable plan available for companies who want to leverage the benefits of Teams. However, there are still a variety of other options for business users interested in the Microsoft ecosystem.

Microsoft 365 Business Basic, for instance, is the next step up from Microsoft Teams Essentials, available for $6 per user per month. This plan comes with all the functionality of Essentials, plus access to the Microsoft Whiteboard, hundreds of collaborative apps, and live captions in more than 30 languages for each meeting.

Essentials can also support collaborative annotations and Microsoft Whiteboard. However, this is only possible when users also have an Azure Active Directory account.

The Business Basic plan also includes collaborative annotations for Teams meetings, recordings, and transcripts. It also comes with 1TB of storage per user, and business-class email. Plus, there are standard security features for maintaining privacy and compliance and access to web and mobile versions of all the Microsoft Office applications like Word and PowerPoint.

The Microsoft 365 Business Standard plan is available for $12.50 per user per month. Suppose you already have access to all the Office software you need and want to expand your team’s collaboration capabilities. In that case, Microsoft Teams Essentials might be the best solution.

The Teams Essentials plan expands on the existing functionality smaller companies can get from the “free” Teams plan. It provides access to bigger, longer meetings, extra cloud storage, enhanced support, and additional phone connectivity options.

However, Microsoft Teams Essentials might not be ideal for those who don’t already have access to the Microsoft Office ecosystem or need more advanced collaboration tools. Users must upgrade to the Business Basic plan to access functionality like live captions, collaborative annotations, whiteboarding and transcripts.

Even the security options in Teams Essentials may be too limited for some rapidly expanding team landscapes. Neither the Teams nor Business Basic plans will be sufficient for companies looking to host webinars and meetings. These companies will need at least the Microsoft 365 Business Standard plan.
