The PaySpace app for Microsoft Teams allows you to integrate employee leave records with the Teams calendar. As a result, Teams users would be able to schedule meetings more effectively and organise their work around team members’ leave schedules. 

PaySpace is a 2000-founded award-winning human capital management (HCM) software company based in South Africa. Inside the PaySpace App for Microsoft Teams 

It should be noted that the PaySpace app for Teams doesn’t offer a full HR and payroll process management experience. Rather, it lets you view PaySpace data inside of Teams to make collaboration more seamless and reduce the effort spent switching between the two platforms. Currently, PaySpace for Teams focuses on leave calendar management.  

As a prerequisite, you need an existing PaySpace account with leave records fully set up. PaySpace is custom-priced, and your subscription costs will vary accordingly.  

You can visit Microsoft AppSource or the Teams application store to integrate PaySpace – here are its key features:  

  • Company calendar – After you download the PaySpace integration, you will be able to see your end-to-end PaySpace calendar and leave records in Teams from a desktop as well as mobile. You will first need to authorise Teams before it can access leave data. Once this is done, the app displays a calendar view where you can check for specific months, days, and years. By default, you will be able to see the records for all employees. If employees don’t belong on your team, their leave dates will be greyed out without any specifics around the leave type.  
  • Team availability status – While the calendar tells you about any employee scheduled to be on leave, PaySpace provides more granular details for team members. You can see when a team member will be on leave and the reason for the leave (annual leave, sick day, miscellaneous, etc.). Importantly, the app also mentions when a team member has a birthday coming up so you can plan accordingly. There is also a team member filter feature, where you can select a specific team member’s name to check their leave and availability status over the next few weeks.
  • Employee search – The PaySpace app for Teams allows you to check for any employee’s leave records by name. For example, if an employee has been present at work without a break for several weeks, you can check on their previous/scheduled leave records and encourage them to take a break accordingly. This feature is enabled by a universal search bar in the PaySpace app.  
  • Leave filtering – The PaySpace app will show you all types of leaves by default, but you can choose to view only one type as required. For example, you can check on leaves taken only due to public holidays and leaves availed for health purposes or anything else.  
  • Colour-coded views – When you open the PaySpace calendar, you will be greeted by a colour-coded view of all the leaves availed. As mentioned, leaves taken by non-team members are marked in grey, no matter the reason. All other leave types have their own assigned colour for quick, at-a-glance comprehension.
